GoCardless
If you ever need the functionality of a direct debit mandate without the monthly fee then GoCardless is an easy-to-use alternative. Again this software easily integrates with Xero to give you a seamless service to your clients. It works the same way as a direct debit so your customers have peace of mind. Also as a business owner it eliminates debt collection and increases cashflow. What’s not to like?

We’re huge fans of CapsuleCRM and have been loyal to it since 2011.
This flexible web-based tool is a godsend for small business to keep track of sales opportunities and share mail correspondence across a team.
It also integrates seamlessly with many other useful software (e.g. xero and Mailchimp) to make it extra effective.

A big player in the cloud storage arena, dropbox allows you to sync and share files across devices.
We've been using Dropbox since 2011 as the in secure file sharing

Google Meet
Secure video meetings are easy with Google Meet. Each meeting can last up to 1 hour and have up to 100 participants however 1-1 meeting can last for up to 24hours (but who is going to use that functionality)

Zoom
It might have been 2020 before many people heard of Zoom but we’ve been fans for many years before that.
As a video conferencing tool, it’s easy to use and reliable.
The free plan allows one to one conversations for up to 24hours duration but if there are 3 or more on the session there is a limit of 40minutes.

Although we don't use it in our own business we have several clients who swear by Shopify as one of the easiest e-commerce platforms around.
Easy to build your online store and streamline seamlessly with Xero (your accountant will love you).
Many templates to choose from for a reasonable monthly fee.

With GDPR email marketing dipped but this is still an extremely valuable selling tool. Sending bulk messages to your customers or prospects is a fabulous way of keeping in touch. We love that it also offers powerful data analytics too.

You've all seen those professional-looking posts on Social Media and thought "I'm not creative, I can't do that". Well with Canva you can, it's so easy to create stunning graphics for socials, flyers, posters, invitations, reports, etc. The list goes on and on.

Another excellent online graphics tool. Very similar to Canva but with different stock images.

Calendly
Very easy to use scheduling toll which links to your diary and allows others to book appointments. Saves time by avoiding the toing and froing of emails to find appropriate dates/times. If linked to Stripe you can also take payment at the time of booking.

We couldn’t live without Lastpass. This password manager stores encrypted passwords online. You can sent login details to others without showing them your passwords. And as passwords get longer and more complicated to remember this is a game changer.

Our go to for internal communications. Slack is a channel-based messaging platform. Chats can be grouped in different channels to keep subjects together. Note that with the free version messages expire after a set time.

We use Better Proposals to issue all of our proposals and we also include our Terms of Business at the same time so all clients know from the outset what is expected of them and what we are expected to do.
